

Ministry Assitant to Executive Pastor
General Job Description & Purpose
The Ministry Assistant to the Executive Pastor provides essential administrative, organizational,
and ministry support to further the mission of Tabernacle Baptist Church: Connecting People to
Christ. This role enhances the effectiveness of the Executive Pastor by managing
communication, scheduling, curriculum, logistics, and event coordination across ministries under
his leadership—including Family Ministry, College/Young Adults, and Classic Adults.
This position plays a key behind-the-scenes role in helping these ministries thrive, supporting the
church’s four priorities: worship, fellowship, discipleship, and outreach.
Responsibilities & Duties
Administrative Support
• Manage the Executive Pastor’s calendar, including scheduling meetings with staff,
volunteers, and ministry teams.
• Assemble p-sheets for weekly staff meetings.
• Prepare meeting agendas, ministry reports, and presentation materials as needed.
• Monitor and respond to ministry-related communication and follow-ups.
• Organize and maintain ministry documents, files, and resources.
Group & Curriculum Support
• Order and track curriculum for Life Groups, discipleship programs, and age-specific
ministries.
• Maintain curriculum inventory and ensure timely distribution to leaders.
• Communicate regularly with group leaders to provide updates, encouragement, and
resources.
• Assist in onboarding and communication for new Life Group leaders.
• Ensure attendance is kept up to date across ministries.
• Ministry Operations & Logistics
• Assist in planning and executing ministry tasks for Next Gen, College/Young Adults, and
Classic Adults.
• Track key ministry dates, events, and deliverables.
• Support team communication and coordination, ensuring nothing falls through the cracks.
• Help manage logistics for volunteer onboarding, scheduling, and team support.
Ministry Operations & Logistics
• Assist in planning and executing ministry tasks for Executive Pastor
• Track key ministry dates, events, and goals.
• Support team communication and coordination, ensuring nothing falls through the cracks.
• Help manage logistics for volunteer training, scheduling, and team support.
Event & Training Support
• Coordinate logistics for discipleship training events, ministry leader gatherings, retreats, and
seasonal initiatives.
• Handle registration, room setup, materials, communication, and event promotion.
• Serve as a central point of contact for event details and follow-up.
Other Duties
• Attend family ministry staff and staff meetings as needed.
• Maintain professionalism and confidentiality in all areas of ministry support.
• Perform other tasks and responsibilities as assigned by the Executive Pastor.
Qualifications
• A growing relationship with Jesus Christ and agreement with the mission, vision, and values
of Tabernacle Baptist Church.
• Organized, detail-oriented, and dependable.
• Interpersonal and communication skills, both written and verbal.
• Proficient with scheduling tools, spreadsheets, and document management (Google
Workspace or Microsoft Office).
• Willingness to learn tools like Planning Center Online and other ministry platforms.

This is a part time role that will serve as our head for the preschool ministry, coordinating and leading our volunteers to care for the youngest of our precious souls that come onto Tabernacle’s campus each and every week.
This person’s primary scope of work will include volunteer scheduling and recruitment for Sunday morning and Wednesday night ministries, as well as scheduling our childcare workers for extra opportunities for parents to serve and attend ministries.
This person will also work hand-in-hand with our weekday preschool to utilize the shared space of the preschool building in a way that benefits both ministries. We expect this person to be detail and communication-oriented in their skillset, with a heart for caring for volunteers and children alike.

•Maintain volunteer and parent communication lists; assist with follow-up and care systems.
•Creative & Technical Support
•Operate and edit content in ProPresenter for student services and events (lyrics, slides, sermon notes, videos, etc.).
•Assist with media creation and presentation in Canva or equivalent tools for weekly services and events.
•Coordinate and upload slides, videos, and graphics to ensure smooth service flow.
•Provide proofreading, formatting, and creative input for digital and printed ministry materials.
•Relational & Ministry Support
•Provide ongoing care and communication with students, parents, and volunteers through notes, texts, or in-person follow-ups.
